Terms of Service
for Agents and Counselors
- General Information: Agents are authorized to assist students in applying to Wichita State University. No agent, however, is authorized to guarantee admission to the University. Agents may, however, receive I-20s and other admissions documents and distribute them to successful applicants on our behalf. Because of the large volume of applications that we receive, we cannot do informal evaluations of transcripts by fax or e-mail. Students must formally apply for admission and submit all needed application materials in order for the University to determine a student’s admissibility.
- Expedited Service: The Office of International Education will provide expedited service to agents whose students apply to an undergraduate program or to the Intensive English Language Center. Applications to an undergraduate program or to the Intensive English Language Center are normally reviewed in about one week but may take longer depending on our current volume of applications. Please note that postgraduate applications take longer to process (sometimes several weeks) and cannot be expedited.
- Conditional Admission: Wichita State University offers conditional undergraduate admission to students who A) have not met our English requirement and B) are otherwise admissible to an academic program. Postgraduate applicants may also receive conditional admission when the student has not met our English requirement, has applied to the Intensive English Language Center, and is otherwise eligible for admission.

- Commissions: Wichita State University does not enter into agreements with agencies requiring payment of a fee or commission by the University. We also cannot appoint any agency as an "exclusive" representative. However, we accept applications from agencies which charge students a fee for their services.
Although Wichita State University does not pay commissions, all agents are authorized to collect the US$100 tuition deposit from applicants to the Intensive English Language Center and retain it to defray their expenses. When the students enroll in the WSU Intensive English Language Center, we will credit the student’s account for US$100, and the student will be required to pay only the balance due on their tuition.
Important Note: The US$50 non-refundable application fee, however, must accompany all applications for undergraduate admission or postgraduate admission. Postgraduate students receive one free readmission before having to reapply to their program of choice.
- Undergraduate or Intensive English Applications:
For undergraduate and Intensive English applications, one of our admissions officers will be designated as the primary contact person for your agency. This admissions officer will process all undergraduate and Intensive English applications you send to us, answer follow-up questions, and provide additional information you may request. In order for us to better serve you, please be sure to include a letter (which contains the full name and address of your agency) with all applications you send to us. We normally send all undergraduate and Intensive English correspondence, including the student's I-20 and other admissions documents, directly to the agency. It is important that you give all correspondence to the student. If you prefer that we mail these items to the student's home address, please inform us and we will do so.
Our computer system will automatically send an automated e-mail message to the e-mail address listed on the student’s application form when we receive the student’s application for admission and have entered the application on our computer system. For this reason, you might prefer to list your e-mail address on the student’s application form so that you receive automatic updates about the student’s admission quickly and easily. If you or the student later send transcripts, money, or any other application materials in a separate envelope, another automated e-mail message will be sent each time we receive something (and have entered it on our computer system). After we have reviewed the student’s application, another automated e-mail message will be sent indicating one of the following:
- The student has been accepted. The e-mail message will also indicate how we are sending the I-20 and admission documents (such as “Fed Ex” or “airmail”), the date the package will be sent, and the tracking number (if applicable). We will automatically send all I-20s to your agency or institution by Fed Ex (for free!). Fed Ex delivers to most cities and countries in 3 to 4 days and Fed Ex shipments can be easily tracked at http://fedex.com Because this is a free service for agencies and counselors, it is not necessary for you to include the US$50 express mail fee with any undergraduate or Intensive English applications you send to Wichita State University.
OR
- An item(s) is missing from the student’s file. The e-mail message will give you details on what is missing and ask for the missing item(s) to be sent as quickly as possible so that we can continue to review the student’s file.
OR
- The student has been denied admission to Wichita State. We do not like to send this message but we feel that it is important to inform students as quickly as possible about their admission status. We will also send a formal denial letter by airmail.
- Postgraduate Applications:
Undergraduate and Intensive English applications are processed by the Office of International Education. However, postgraduate applications are processed by the Graduate School. As a reminder, postgraduate applications take longer to process (sometimes several weeks) and cannot be expedited. All postgraduate admission documents will be mailed to the mailing address on the student’s application form. The student may pay the US$60 express mail fee. Otherwise, the student's admissions documents will be sent by airmail at no extra charge. If you have questions about a postgraduate application that you have submitted, you may communicate directly with the Graduate School at gradinqu@wichita.edu
Please feel free to contact me anytime if you have any questions. I look forward to working more closely with you in the future! If you have not already done so, please request an agency packet today!
Sincerely,
