MOTOR POOL  RESERVATION INFORMATION

THE POLICE DEPARTMENT IS OPEN TO THE PUBLIC BETWEEN THE HOURS OF 8AM AND 5PM, MONDAY THROUGH FRIDAY. PLEASE ADJUST YOUR SCHEDULE TO PICK UP AND DROP OFF MOTORPOOL VEHICLES TO ACCOMMODATE THESE HOURS.

TWO (2) BUSINESS DAY ADVANCE NOTICE IS REQUIRED FOR ALL RESERVATIONS.

  • Drivers must be employees of the university, currently appointed as a graduate assistant, or a Heskett Center coach.
  • Drivers and passengers must be engaged in official state business on behalf of Wichita State University - the pursuit of a goal, obligation, function or duty imposed upon or performed by a state employee as a condition of their employment.
  • Requests received on weekends or holidays will be processed the next business day, so please plan ahead.
  • Any driver using a 12 passenger van must have successfully completed a WSU van training class before they are allowed to drive.
  • State of Kansas regulations state that a valid driver license is required in order to drive a motor pool vehicle. Drivers with an International driver's license or an out-of-country driver license are not allowed to drive motor pool vehicles.
  • Seat belt extenders are available. Please ask for one when checking out a vehicle and return it when the vehicle is checked in.
  • Only the driver(s) who reserved the vehicle may check out the vehicle.
  • Any passenger who might drive the vehicle MUST sign the paperwork before the vehicle is checked out.
  • Vehicles must be refueled at the end of each trip, regardless of how many miles are driven.
  • If a vehicle is dirty when you pick it up, please make a note on the pink reservation sheet. Neither the Physical Plant or the Police Department have the staff available to check vehicles between reservations, so we rely on users to report these conditions.
  • Record mileage before and after each trip. The complete odometer reading should be recorded, not the trip odometer or the last few digits of the complete mileage. Your department may be held accountable for any mileage discrepancies.

Rates and Definitions

There is a $5.00 daily fee plus mileage:

Sedans (Seats 5) .26 per mile
Mini Vans (Seats 7) .28 per mile
Full Size Vans (Seats 12) .40 per mile
Suburban (Seats 9) .40 per mile
Handicap Accessible Sedan (Seats 5) .26 per mile

 

Additional Fees

No show fee $5.00 per each day vehicle scheduled to be out (for example: scheduled for a three-day trip=$15.00)
Fail to cancel with 24 hour notice $5.00
Late return of vehicle $5.00 per day plus mileage
Lost key replacement $5.00
Lost keyless entry remote replacement $90.00 or more depending on circumstances
Excessive abuse/trashing of vehicle $50.00 or more depending on circumstances


Credit Cards

A Wright Express card is included for gasoline purchases. ALL receipts must be turned in when returning the vehicle.

Failure to provide required receipts may result in suspension of future University credit card and or vehicle use.
